From Vehicle Arrival to Departure: The DMS Workflow

vCharM.DMS manages the full vehicle lifecycle within the depot. Each step updates the live operating picture that dispatching, the control desk and the workshop work from.

Step 1: Vehicle Arrival and Check-in

Vehicles are logged on arrival via driver app, gate terminal or automatic vehicle identification. Arrival time, current state and any reported defects are recorded and immediately visible to depot operations staff.

Step 2: Bay Assignment

The system assigns the bus to a bay based on depot configuration, vehicle type and next departure time. For electric buses, the assignment accounts for available charge point locations and connector compatibility.

Step 3: Maintenance Check and Clearance

Open maintenance items flagged on arrival are routed to the workshop queue. The vehicle is marked unavailable until cleared. When charging is active, the hold status flows to vCharM and the vehicle is excluded from charging schedules until ready.

Step 4: Departure Schedule Confirmation

The confirmed departure time and required readiness state are transmitted to the operating picture. For electric buses, the required state of charge flows to vCharM, which uses it to plan the charging session, calculate the latest charging start time and set priority among active vehicles.

Step 5: Live Status and Exception Handling

Dispatchers monitor the live depot overview throughout the dwell period. Schedule changes, vehicle swaps and exceptions are visible immediately. Updated departure times trigger automatic recalculations across the operating picture.

Step 6: Pre-Departure Release

Before departure, the system confirms the vehicle has reached its required readiness state, maintenance clearance is current and driver assignment is complete. Release can be manual or automatic based on configured depot rules.

Interactive floor plan view of the depot showing each parking slot, occupancy status, vehicle assignment and charge point availability. Dispatch staff can reassign vehicles by drag-and-drop when operations change.

Live Vehicle Status

Current vehicle state, position, arrival time and scheduled departure are retrieved via telematics and intermodal transport control system (ITCS) integration. Dispatchers see which buses are en route, in service, charging or held, and act on readiness issues before they affect departures.

Driver Assignment Tracking

Driver-to-vehicle assignments are managed within vCharM.DMS and linked to departure duties. Driver check-in, certification status and duty start confirmation are tracked and surfaced to dispatch in the live view.

Departure Timeline

Chronological timeline of upcoming departures with vehicle, driver, required state of charge and current charging status. Late departures and readiness exceptions are highlighted automatically so staff can prioritize attention.
 

Maintenance Status Board

Workshop queue, vehicle hold reasons and estimated clearance times are visible to both depot management and dispatch. Cleared vehicles are released automatically to the scheduling and charging pipeline.

Shift Change Handover

Shift handover summaries are generated automatically from live depot state. Incoming dispatch staff receive a current snapshot of depot occupancy, scheduled departures and any open exceptions without manual briefing.
